A lost Office document does not always mean the work is gone.
The correct recovery path depends on what happened:
- Office crashed or the PC restarted before you saved;
- you closed the file without saving;
- you never saved the new document at all;
- or the file was saved in OneDrive or SharePoint and you need an earlier version.
The most important rule is:
Check Office's own recovery copies and version history before attempting low-level file recovery.
Did Office close unexpectedly?
If Word closes unexpectedly before your latest changes are saved, Microsoft says Document Recovery normally opens the next time Word starts and shows available recovered files. [R1]
PowerPoint uses the same general mechanism. Its AutoRecover feature periodically saves a recovery copy in the background, and after an unexpected shutdown PowerPoint normally attempts to reopen available recovery work. [R2]
If several recovered versions appear, compare their timestamps and open the most recent promising copy before deciding what to keep. [R1]
Once you find the correct recovered document, save it immediately under a normal filename.
Did you close the file without saving?
Office may retain a recoverable version if AutoRecover was enabled.
For supported Excel and PowerPoint versions, Microsoft documents a recovery path under File → Info → Manage Workbook / Manage Presentation. A version marked as having been available when the file was closed without saving can be opened and restored. [R3]
Word provides similar recovery behavior for supported versions through its document recovery features. [R1]
AutoRecover is a safety mechanism, not a replacement for saving. Microsoft specifically recommends saving files regularly even when AutoRecover is enabled. [R2]
Was the document never saved at all?
For supported Office versions, unsaved Excel workbooks and PowerPoint presentations may appear under:
File → Info → Manage Workbook / Manage Presentation → Recover Unsaved… [R3]
Open the candidate file and use Save As immediately if it contains the missing work. [R3]
Do not assume that every unsaved document will be present. AutoRecover only helps when Office actually created a recovery copy before the work was lost.
Was the file stored in OneDrive or SharePoint?
If the document was saved in OneDrive or SharePoint, check Version History.
Microsoft 365 can show previous saved versions of Word, Excel, and PowerPoint files stored there. You can open an earlier version separately and restore it if it contains the work you need. [R4]
This is the correct path when the file still exists but unwanted edits, synchronization, or another person's changes replaced the version you wanted.
Version History is different from AutoRecover:
- AutoRecover protects against unsaved work lost during editing;
- Version History lets you return to an earlier saved cloud version.
What if I cannot find the document anywhere?
First determine whether the document was ever saved.
If it was saved previously, search the expected folder, OneDrive, and any other account or location where Office may have stored it.
If it was deleted after being saved, this is no longer primarily an Office AutoRecover problem. Check the Windows or OneDrive recycle bin, backups, and the deleted-file recovery workflow instead.
If the document was never saved and no AutoRecover copy exists, Office may have no intact copy to restore.
What should I do now?
- Reopen Word, Excel, or PowerPoint and check for Document Recovery.
- Check File → Info → Manage… for recovered or unsaved versions.
- If the file was in OneDrive or SharePoint, inspect Version History.
- Open candidate versions before replacing anything.
- Save the recovered document immediately under a normal filename.
- If the original file was deleted rather than merely unsaved, switch to the deleted-file recovery path.
A successful recovery means the document contains the missing work, not merely that a file with the expected name exists.
